1. Tuition Collection Process

• Initial Enrollment: A prorated payment is due upon registration based on your start date.
• Monthly Billing: All tuition is billed on the 1st of each month through the payment method on file.
• Accepted Payment Methods:
  • Primary: Automatic payments via credit/debit card or bank account
  • Alternative Options: Cash or manual invoice payments available upon request

2. Cancellation and Billing Notices

• Notice Requirement: At least 3 days' written notice via email is required before the next billing date (1st of the month) to cancel or pause a membership without charge.

• Late Notice: Notices received within 3 days of billing will apply to the following month. Tuition for the current month remains due and non-refundable.

3. Refund Policy

• No Refunds: Tuition payments for previous months are non-refundable, except in the case of a verified system error.
• Trial Classes & Special Events: Any paid trial or special event fees are non-refundable after the event or class is attended.

4. Commitment Rewards Plan

• Early Cancellation: Canceling before the 12-month term ends will result in a charge equal to the savings received under the discounted rate.
• Payment: This charge will be automatically billed to the method on file, unless another method is requested in advance.
• Annual Reset: After 12 full months, the plan resets. You may pause or end your membership with no additional penalty.
• Rate Lock: Members who remain continuously enrolled retain their original discounted rate, regardless of future rate changes.

5. Rejoining Policy

• If a member cancels and later re-enrolls, they will be subject to the current standard tuition rates.
• Members with uninterrupted enrollment maintain their original rate.

6. Failed Payments & Follow-Up

• In the event of a failed payment, the system will automatically attempt to reprocess it.
• If payment continues to fail, we will reach out via the email and phone number on file to assist in resolving the issue.

7. Add-On Programs & Special Events

• Optional programs such as Iaido (+$100/mo), Qi-Gong (+$75/mo), and Kenpo Kick (+$75/mo) are billed separately.
• All add-ons follow the same billing structure as regular tuition unless otherwise noted.

8. Courtesy & Financial Understanding

• We understand that financial circumstances may change. Please reach out to us if you’re experiencing hardship.
• We are committed to working with families to maintain consistency in training wherever possible.

9. Agreement
By enrolling at Shogun Martial Arts, you acknowledge and agree to all terms stated within this document. These policies are designed to ensure fairness, consistency, and accountability for all members.
